Build n Bloom

An established NDIS service of Build n Bloom — separate from our professional-services workflow practice, and unchanged by it.

Coordinator follow-up that doesn't stop when your week gets loud.

Referrals go to the provider who is already in front of the coordinator when the need lands. The Referral Agent runs the contact list, the outreach cadence and the reply detection — consistently, every week — while your team handles the actual conversations.

01

The job, plainly

The problem isn't relationship quality. It's contact volume and consistency — and those are systems problems, which is why working harder at them hasn't closed the gap. In a loud fortnight, follow-up is the first thing that stops; a coordinator who goes unanswered doesn't complain, they just refer elsewhere, and you never see the referrals you lost.

02

What the agent does

Maintains the coordinator database (yours to keep), drafts personalised outreach for your approval, runs the follow-up cadence, detects replies and routes warm responses to you the moment they land.

03

What it never does

Sends anything you haven't approved, contacts anyone you've excluded, speaks for you in an actual placement conversation, or touches participant data. You approve every email before anything sends.

04

How we know this job

How we work — a process description, not a client result. We spent thirteen combined years inside NDIS operations; Richard scaled a provider from zero to 26 homes over five years. The systems on this site are the jobs we did by hand, rebuilt as software with a person still deciding: list the coordinators, contact them consistently, log every reply, never let a loud fortnight quietly close a relationship. That's the whole mechanism. We describe it openly because a provider who understands it can judge it — and because we have no client outcome we're willing to publish without its full record.

05

The demonstration

Run the demonstration yourself — sample data, no signup, no call. It's the actual agent doing the job on a sample provider, and it's labelled as exactly that: a demonstration, not a client result.

06

The guarantee

For the Referral Agent install, the guarantee is in writing: A coordinator books a conversation within 90 days, or a full refund of the install fee. You keep the coordinator database and templates regardless of outcome.

07

The next step

The Operational Diagnostic maps your own numbers — how many coordinators your team genuinely talks to, what happens to follow-up in a bad fortnight, and how concentrated your intake is. Free · 30 minutes · a written recommendation either way — including "don't buy anything."

If you're an existing client: nothing about our newer work changes what we owe you, how your system runs, or how you reach us. Your agreement is the authority; this page never is.
