Make the next client conversation useful

Accepted work may leave open actions and client concerns. This reference path shows how an account owner reviews those records, checks contact permission and approves a relevant next step or a deliberate pause. It is an illustrative design, without an interactive demo.

01 / HANDOFF DESIGN

  1. Accepted work (DEL.6) — Engagement lead receives accepted outcome and client commitments and produces close and action record. The handoff is owned action list. Lead confirms open actions.
  2. Client response (REL.1–REL.2) — Account owner receives action list and client feedback and produces concern, need or no-action decision. The handoff is reviewed relationship state. Owner resolves complaints and interprets feedback.
  3. Relevant next step (REL.3) — Account partner receives reviewed state and permitted context and produces follow-up proposal or deliberate pause. The handoff is proposed next conversation. Partner decides relevance and timing.
  4. Contact decision (REL.1–REL.3) — Account partner receives proposed message and permission check and produces approve, revise or do not contact. The handoff is approved communication. Named owner approves any send.
  5. Relationship record (REL.3 / SAL.1) — Account owner receives approved contact and client response and produces next action, opportunity or explicit no-action record. This is the recorded outcome. Owner confirms next action.

Return path: Client concern / commitment unresolved sends work from Contact decision to Client response.

02 / WHY ASSESS IT

What would make this worth changing?

Fewer lost commitments and clearer next conversations may protect service quality and reveal demand. A reminder sent is not evidence of retained or new revenue.

MEASUREMENT BASIS

Records to inspect

Accepted deliverable, action owners and dates, client response, contact permission, account notes and any agreed next-step receipt.

STOP / RETURN

Where it can fail

An unresolved complaint, expired permission or unsupported claim stops a proposed message. Silence does not become consent or a sales signal.

DESIGN ACCEPTANCE

Cases to test

Test ordinary follow-up, unresolved action, complaint, withdrawn permission and no-response cases; check the recorded owner and final message approval.

03 / SPECIALIST ROLES

Give each supporting role a clear job.

These candidate roles prepare specific parts of the work. Inspect the output and the reviewer before deciding whether a person, existing software, a rule or AI assistance is appropriate.

COORD

Case coordinator

Show who needs to act, what is overdue and which earlier decision is holding up the case.

Human review: The operations or account owner approves commitments and resolves missing cover. This example sends no reminders or reassignments.

CHECK

Quality checker

Compare the proposed output with the original evidence and explain each discrepancy.

Human review: The named reviewer decides whether to correct or issue the work. A clean check is not professional sign-off.

Find the permitted passage, keep its version and flag anything that does not fit the question.

Human review: A qualified practitioner decides whether each source applies. A record from the wrong period remains a gap to resolve.

Human review: The editor or partner approves issue or sending. An unsupported claim holds the draft; preparation is not permission to publish.
